Intake Process
Starting ABA therapy is a significant step for your family, and we want you to feel supported from day one. We have designed our intake process to be thorough, transparent, and collaborative, ensuring that we build the right foundation for your child’s success.
Here is a step-by-step guide to what you can expect when joining the Catalyst Behavior Solutions family.
1. Initial Connection
Your journey begins when you reach out to us. Once we receive your inquiry, our friendly intake coordinator will contact you via phone, text, or email, depending on your preference.
At this time, we will discuss your family’s needs, answer your initial questions, and talk about what you are looking for in a therapy provider.
2. Insurance Verification
Navigating insurance can be complex, but we are here to help. We will collect your insurance information to verify your benefits and coverage for ABA therapy.
We want to ensure you have a clear understanding of your financial options before moving forward.
3. Intake Paperwork
We will send you an electronic intake packet. This includes necessary consent forms and requests for basic information about your child. Completing this promptly allows us to move to the next stage of the process efficiently.
4. Diagnosis Confirmation
To authorize services through insurance, we require a formal diagnosis of autism spectrum disorder (ASD) from a qualified psychologist or psychiatrist. You will need to submit this report along with your intake paperwork.
If your child does not yet have a formal diagnosis, please let us know, and we will be happy to provide you with a referral to a trusted diagnostic provider to get you started.
5. Comprehensive Assessment
Once we have your paperwork and diagnosis, we will schedule an in-center assessment with one of our Board Certified Behavior Analysts (BCBAs). During this session, the BCBA will:
• Conduct a functional assessment and skill evaluation
• Observe your child’s communication, play styles, and daily living skills
• Identify any challenging behaviors
• Collaborate with you to identify your family’s specific priorities and goals
6. Treatment Plan Development
Using the insights from the assessment and your valuable input, the BCBA will develop an individualized treatment plan and a Behavior Intervention Plan (BIP). We will review this plan with you in detail to ensure you are comfortable with the goals and strategies before we proceed.
7. Authorization
Once you have reviewed and signed the treatment plan, we will submit it to your insurance provider for approval. Once we receive an authorization from them, we are officially cleared to begin services.
8. Scheduling & Orientation
We will create a set weekly schedule that aligns with the recommended therapy hours in your treatment plan and fits your family’s availability. We will also provide an orientation to walk you through our clinic routines and expectations so you feel right at home.
9. Therapy Begins
Your child will begin working one-on-one with a registered behavior technician (RBT). These sessions focus on the goals outlined in your treatment plan.
• Supervision: A BCBA oversees all therapy, providing ongoing guidance to the RBT.
• Data Collection: We collect data daily to monitor your child's progress.
• Updates: Your BCBA will monitor progress weekly and provide you with regular updates.
• Parent Training: We provide monthly parent training sessions to help you support your child's growth at home.
10. Ongoing Progress Monitoring
We believe in celebrating growth! Every six months, we conduct a formal reassessment to measure progress. We will update the treatment plan as needed until your child meets their goals and is ready to graduate from services.
